Evidence log fields

Article 4 AI literacy work needs a visible trail. A policy statement is weak if nobody can show who was trained, what they were trained on, which AI systems they use, and where the records are kept.

AI system or use caseAI tool, model, workflow, or vendor system relevant to the learner.
Training modulePolicy, prohibited practices, high-risk use, human oversight, data handling, Article 50 notice, incident escalation, or vendor rules.
Training sourceInternal briefing, EU AI Compass planner, flashcards, vendor training, policy acknowledgement, or external course.
Completion dateDate training was completed.
Evidence locationLink or reference to attendance record, quiz result, acknowledgement, screenshot, LMS export, or signed record.
Assessment resultPass, acknowledged, refresher required, not assessed, or N/A.
Refresher due dateDate for the next review or refresher.
Evidence ownerPerson or team accountable for retaining the record.

FAQ

Is Article 4 only for technical teams?

No. AI literacy should match the role and context. HR, product, legal, procurement, security, customer support, and management may need different training.

Does this prove compliance?

No. It helps retain evidence that training occurred and was targeted. Whether the program is adequate depends on the actual AI systems, roles, and risk profile.
